How to Make an Invoice
There are specific elements of information that have to be on any invoice in order for it to be acceptable for payment otherwise you may risk having to resubmit your invoice which may delay payment.
Your invoice should include the following elements:
- Your legal business or personal name if you are not incorporated or an LLC.
- The date you have created your invoice. Bigger companies pay in a certain amount of days (15, 30, 60, and 90) from the date on your invoice. If you do work for an individual you should ask for payment at the time you submit your invoice and not wait.
- Your Phone Number
- The person or company name you have done the work for.
- A description of the goods or services performed. In some cases you can make it brief and in other cases you will be asked to break out and itemize everything such as time and materials.
- The total amount to be paid for your services, materials, shipping, etc. Usually it is broken out so there are no questions or mis understandings.
- Your terms of payment. You can ask to be paid up front, in partial payments based on agreed services to be performed such as a 1/3, 1/3 and a 1/3; or in 10, 15, 30,, 60, or 90 days.
- An indication of items subject to tax and if they are included or will be added on after the job is complete.
- A clause on your estimate and/or invoice that if they do not pay in full according the agreed payment terms you will charge them interest based on 1.5% over the prime rate.
